SkillFuel Privacy Policy

This document reflects the currently published SkillFuel platform privacy policy for admin, platform, authentication, billing, and operational workflows.

Section 1

Scope

This Privacy Policy explains how SkillFuel handles personal information when operating SkillFuel and related administrator-facing services. In this context, SkillFuel acts as controller for platform administration, authentication, customer account management, billing, operational logging, support, security, and other direct business operations relating to the SkillFuel service.

This policy applies to platform administrators, tenant owners, tenant staff using SkillFuel-controlled administration services, customer contacts, prospects where applicable, and other individuals who interact directly with SkillFuel-controlled websites, billing workflows, or support channels.

Section 2

Information processed

We may process identity and contact details, organization and billing information, authentication and session data, support communications, transactional and invoice records, account preferences, security and audit logs, device and usage information, and other information reasonably necessary to provide, secure, support, and improve the platform.

Where customers configure tenant environments, we may also process limited service metadata relating to tenant setup, domains, branding, feature entitlements, administration actions, and technical diagnostics. Learner-facing personal data is generally processed separately under the tenant controller relationship described in the relevant tenant notice.

Section 3

How we use information

We use personal information to provide and administer the platform, create and secure accounts, process subscriptions and payments, manage contracts, respond to support requests, detect abuse, enforce our terms, maintain service reliability, communicate about operational matters, and meet legal, accounting, tax, and compliance obligations.

Section 4

Legal bases

Where GDPR or equivalent laws apply, processing is typically based on performance of a contract, steps taken before entering into a contract, compliance with legal obligations, legitimate interests in operating and securing the service, and consent where consent is specifically required. Where special categories of personal data are intentionally provided in support or configuration contexts, they should only be processed where an appropriate legal basis and additional condition applies.

Section 5

Processor and tenant data separation

When tenant customers use SkillFuel to manage their own learner relationships, SkillFuel generally acts as a processor for learner-facing personal data processed on the tenant's documented instructions. Tenant customers remain responsible for their own notices, lawful bases, and controller decisions for that data. SkillFuel acts as controller for its own business, security, administration, and billing operations even when those operations relate to a tenant account.

Section 6

Service providers and transfers

We may use subprocessors and service providers for hosting, storage, content delivery, communications, customer support, analytics limited to service operation, payment processing, fraud prevention, and security monitoring. Where personal information is transferred internationally, appropriate safeguards should be used where required by law, including adequacy decisions, standard contractual clauses, or other lawful transfer mechanisms.

Section 7

Retention

Records are retained only for as long as reasonably necessary for platform operations, security, support, accounting, contractual enforcement, dispute resolution, legal compliance, and legitimate business recordkeeping. Retention periods vary by record type, and some information may be deleted, anonymized, or minimized when it is no longer needed for those purposes.

Section 8

Security

We apply reasonable technical and organizational measures designed to protect personal information, including access controls, monitoring, environment separation, encryption in transit, role-based permissions, and processes intended to reduce unauthorized access, alteration, or disclosure.

Section 9

Your rights

Subject to applicable law, individuals may have rights to access, correct, delete, restrict, port, or object to certain processing, and to withdraw consent where consent is used. Individuals may also have the right to complain to a competent supervisory authority.
